Our FR5 is here with its installed cable, but the separately promised spare kit is still outstanding. The seller says it will follow later. I am handing the project to maintenance and want that omission to survive the handover. How would you record it?

I inherited one like this with the shortage buried in a former employee's inbox. Put the ordered spare items, received quantities, seller correspondence and named follow-up owner in the equipment handover record, with the kit explicitly outstanding.
