How do I get the spare kit out of 'next shipment' limbo?

Our UR5e package arrived with the working cable fitted, but the extra cable and other promised spares weren't in it; how do I get a definite answer from the seller when every reply says 'next shipment', which apparently never becomes this shipment?

Does the order actually say an extra cable? I'd check that line first. They may be answering about the cable already fitted to your robot.

Yes, the accepted quote says one installed cable plus one spare, and our receiving sheet lists only the installed one; I have both documents open now

Send them those two lines. I'd write 'Where is the second cable?' so they can't keep pointing at the one you've already got.

List the other missing spares individually as well. A cable discussion can leave the rest of the kit quietly unmentioned.

And ask what has left their warehouse. For anything they say they've sent, ask for its parcel number. Then you'll know what you're still waiting for them to pack.

Ah, I read 'kit' as a full item list. Grace has only shown us the cable line so far.

Only the cable and replacement finger pads are itemised, the final line is just 'small service accessories', so yes there's a vague bit as well

Which accessories does your maintenance plan actually require? I'd resolve that before treating the package as complete.

Name the cable and pads as missing. Then ask what 'service accessories' includes. I wouldn't guess the contents of that last bit for them.

I've drafted it as two missing named items plus a request to define the accessories, and removed my earlier guess that it meant fuses

Put quantities beside the named items. Ask for a specific dispatch commitment or a clear statement that they cannot currently supply them.

And identify who follows it up after handover. Missing spares tend to outlive the person doing commissioning.

I would keep the maintenance question separate in your own notes: what is owed, what you need on site, and what lead time you can tolerate. They overlap, but they aren't identical lists.

Now I'm interested whether they give you a parcel number or another 'next shipment'. Until they answer, I wouldn't tell maintenance the spare is on its way.

One small point: retain your sent list when they reply against it. We lost track once because the seller answered an older revision with fewer missing items.
