Ask for the identified cable's availability and a separate dispatch proposal. You can investigate a local alternative in parallel. A credit only becomes a useful comparison once you know what the replacement would cost and whether it is actually available.
Include delivery and any compatibility confirmation in the replacement quote. A cheap cable with the right-looking ends can make the credit look generous while leaving you with the same shortage.
Agreed on the complete quote, Nina. I would also keep the original missing-item line open during the enquiry so nobody mistakes a price request for acceptance of a settlement.

Who would receive and check the spare if it comes through the original seller? Give that person the same identity and shortage line too, especially if purchasing and maintenance use different descriptions for it.
Stores will check it, Nina. Jane, seller says the cable is awaiting stock and has offered no date. Local source is checking availability too. At least we now know separate postage wasn't the only obstacle.
That leaves two supply enquiries open. I would not put a replacement date into the maintenance plan from either one yet, even if one arrives on a more convincing letterhead.
