The UR5e package is here and our installer has checked the fitted adapter. The additional adapter promised in the spare kit is absent. I keep receiving 'next shipment' from the seller without a dispatch reference.
I need a useful maintenance handover that reflects what we actually have, while the missing item is still being chased.
List the fitted item and the outstanding spare separately, with the agreed spare-kit reference and the seller's response attached. That prevents an inventory tick for the installed adapter being mistaken for confirmation that a replacement is available.
Stores had marked the line complete after checking the fitted unit. I've corrected the inventory and linked the missing spare to our purchasing query. That's already a useful distinction.
Ask purchasing for an item-specific supply response. A proposed dispatch date, a confirmed dispatch record and a received spare are three different states; the handover should make clear which one you have.
The seller has again named a future shipment but supplied no item reference. I've asked whether that shipment actually includes our spare adapter, with its drawing revision quoted.
That revision matters to stores too, since an adapter with the same label can still be the wrong replacement if the fitted tooling changed during commissioning.
Good point. Tie the spare requirement to the accepted installed assembly, and have the responsible technical person review any proposed substitution instead of letting stores infer equivalence from a description.
That would distinguish a warehouse dispatch problem from an item they have not obtained. Neither is solved by repeating a shipment phrase without identifying your adapter.
They now say they are waiting for the adapter from their tooling source. No firm date. Our handover shows no spare on site and purchasing is reviewing the outstanding supply commitment.
Make that visible to the person planning downtime as well. They need to assess the current replacement arrangement with maintenance, rather than discovering during a fault that the inventory's spare was only promised.
