Universal Robots UR5e: Does a warehouse reference mean the robot is there?

Our unnamed seller in China says it handed over Universal Robots UR5e, including the tray handling gripper, to a freight agent. The agent says it's waiting for warehouse receipt and uses a different reference. I've spent 14 days asking where our order is. We bought it for loading inspection fixtures, and neither message gives me a confirmed location.

What are the two documents actually called? A collection booking and a warehouse receipt would mean different things.

@JaneAbbott0075 One's a collection booking. The agent's reference has no arrival event. Our packing list includes the arm and the tray handling gripper, but neither message links a received crate to it.

Send both references and your crate identifier to each party privately. Ask them to link the numbers and say who last physically received that crate.

I used a shared conversation on a separate freight purchase. Once the contacts could see each other's references, I no longer had to relay and interpret their replies.

Yes, use your established contacts. Once they map the references, the location should be clear.

The reference mapping might connect administrative records without establishing physical receipt. You would still need evidence of where the crate went.

True, I skipped a step. Mapping identifies the shipment; a receipt or custody confirmation establishes a handover. Ask for both.

Yes, they could describe different stages. That's a possibility, though, not an explanation we can assume for your shipment.

Ask for the facility name as well. 'Our warehouse' isn't much help if the two companies mean different buildings.

Our freight messages just call it equipment. I've got the crate identifier on the packing list, so at least I can give them something less vague.

Keep your request tied to the individual crate identifier. A response about the overall booking wouldn't necessarily account for your equipment.

@SaraAllen0287 It could help identify the crate, but a photo alone doesn't establish current custody. Ask who took it and which receipt it relates to.

Would listing the included accessory help keep the request complete? I'm concerned that tray handling gripper may be overlooked in the general shipment description.

Include your packing list, with the tray handling gripper still listed under the order. Let the crate identifier lead the location query; the contents list says what you're expecting.

Right. I'm tracing the crate, not asking someone to open it and count tools just to answer where it went.
